Before you start

  • The primary land parcel must hold a valid, active digital registration file in the Ardhisasa system with zero pending land rent or land rate debts.
  • The land must be clear of any active bank charges, financial caveats, or court injunction disputes unless a written letter of absolute clearance and consent is secured from the lending institution.

Documents you need

  • Scanned color copy of the original physical Title Deed or Certificate of Lease.
  • Approved mutation forms or official survey schemes drawn by a licensed surveyor.
  • A certified copy of the PPA 2 form (formal development approval notice issued by the local County Government).
  • Geo-referenced boundary plans showing beacon location coordinates.

Step by step

  1. Hire a registered surveyor and secure County planning approvals

    Engage an NTSA/Ministry accredited licensed surveyor to draft precise geo-referenced mutation plans. Submit these blueprints to your local County physical planning department to secure an official PPA 2 spatial development clearance notice.

  2. Upload mutations and log application on Ardhisasa

    Log into your verified corporate or personal Ardhisasa profile. Navigate to the physical planning department tab, choose your target structure (Subdivision/Amalgamation/Sectional), enter the property ID, and upload your geo-referenced blueprints along with the certified PPA 2 county clearance file.

  3. Authorize physical beacon re-establishment checking

    The portal will route your file to the Survey of Kenya registry. Government surveyors will schedule a physical ground visit to your property to re-verify beacon placements and ensure boundaries do not overlap onto neighboring plots or public utility spaces.

  4. Issue new individual title registries

    Once field validation surveys pass, the Registrar of Lands will officially cancel the old primary title and generate brand new, independent digital title numbers for each sub-plot or sectional apartment unit. The new titles will update dynamically on your dashboard for immediate reference.
